Role Overview

We are looking for a highly organised and proactive Project Coordinator / Business Operations Associate to support the execution of multiple ongoing projects while contributing to broader operational initiatives across the business.

This role is ideal for someone early in their career who enjoys bringing structure to complex environments, managing multiple priorities, and taking ownership of tasks from start to finish.

You will work closely with the Senior Manager – Projects & Revenue Execution, supporting project delivery, coordination, reporting, stakeholder communication, and selected business operations activities.

This position is primarily focused on execution and coordination across multiple parallel projects. The role ensures that decisions made at the delivery level are translated into structured, timely, and reliable execution across teams and systems. It is not a decision-making role but a key execution support function within the delivery structure.

Reporting and Collaboration

  • Reports directly to the Senior Manager – Projects & Revenue
  • Collaborates with engineering teams, technical managers, business development, and company leadership.

Key Responsibilities

  • Project Coordination & Execution:
    • Execute coordination and follow-through for multiple projects running in parallel, ensuring delivery decisions are implemented accurately and on time.
    • Maintain project plans, timelines, milestones, and action trackers.
    • Coordinate activities across engineering, product, and operational teams.
    • Monitor progress and proactively follow up on outstanding actions and dependencies.
    • Escalate risks, delays, or execution issues when required.
    • Ensure project documentation remains organised and up to date.
  • Stakeholder & Communication Management
    • Prepare project status updates and progress reports.
    • Coordinate meetings and track follow-up actions.
    • Support communication between internal teams and external stakeholders.
    • Help ensure alignment across project objectives, timelines, and deliverables.
  • Business Operations Support - Depending on business priorities, this role may also support execution-related operational tasks such as:
    • Internal reporting and performance tracking.
    • Process documentation and continuous improvement initiatives.
    • CRM and pipeline administration.
    • Support for ISO and compliance-related documentation.
    • General operational support to leadership teams.
  • Continuous Improvement
    • Identify opportunities to improve project execution and internal processes.
    • Support the introduction of structure, visibility, and consistency across execution workflows defined by the Delivery Lead.
    • Contribute ideas and take initiative beyond assigned tasks.

What We’re Looking For

Required:

  • Bachelor's degree in Engineering, Business, Economics, Management, or a related field.
  • 1–4 years of professional experience in project coordination, operations, consulting, business analysis, or similar roles.
  • Strong organisational and planning skills.
  • Ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills in English.
  • Strong attention to detail and follow-through.
  • Comfortable working in a fast-paced and evolving environment.
  • Strong sense of accountability and ownership.

Preferred:

  • Experience using Planner, Jira, or similar tools.
  • Exposure to technology, infrastructure, energy, engineering, or consulting environments.
  • Experience working in startups or growing organisations.
  • Familiarity with CRM systems such as HubSpot.

  • Contribute to a well-organised and disciplined execution environment across the company
  • Reduce operational friction by improving clarity, tracking, and communication flow
  • Demonstrate strong ownership of coordination tasks without waiting for detailed instructions

What We Offer

  • Full-time position based in Athens.
  • Annual gross salary range: €27,000 – €34,000 (Flexible) depending on experience, plus performance alignment and equity participation.
